Meeting Minutes for meeting held on October 6, 2004

Meeting called to order by Don Sandell at 8:00 a.m.
Welcome to new members and guests. New members and visitors are always welcome.
President’s Message: None.
Treasurer’s Report was distributed and summarized by Joy Seaton. Janet Fuenty moved to approve the report. Sherry Schuur seconded the motion and it passed unanimously.
Minutes of the last meeting were distributed. No additions, deletions or corrections were recommended. Jackie Moyer moved that the minutes be approved. Sherry Schuur seconded the motion and the motion passed unanimously.
New members and businesses: Two new businesses will be opening soon. A satellite dish installation business should be opening within the next month. A silk screening business will be moving onto Main Street in the building previously housing Big City Video.
Agenda additions: None.
Committee Reports
Finance and Administration Committee: No report was made.
Membership Committee: No report was made.
Streetscape Committee: Joan Cunningham investigated the cost to replace the banners downtown. We currently have one missing banner and no replacements. Of those, one has cuts in it and the seam is ripping on another. They will most likely have to be replaced within one year. We may also want to replace the brackets with more flexible ones. Further discussion was tabled until we find out how much money we will have.
Joan Cunningham also passed out recent articles relating to the development of the Prairie Path and the Freeport Visitor’s Center.
Joan Cunningham also noted that the paint is very worn on the Pecatonica Welcome sign. The sign needs to be refinished and repainted to prevent further damage to the sign itself. Some time ago, she obtained two bids for the work, one for $600.00 and one for $800.00. Arnie and Joan will get updated bids to discuss at the next meeting.
Joy Seaton reported that she has received the total sum of $2,892.00 for the rope lighting from downtown building owners. The is approximately $2,200.00 less than we need to purchase and install the lights. Discussion was had on whether to order the lights or wait until additional funds were forthcoming. It was generally decided that Janet Fuenty would send letters to businesses that had not paid their portion of the cost and ask the businesses to forward their check before the next PIA meeting.
Advertising and Business Promotion: No report was made.
Crooked River Days: No report was made.
Summer Festival Committee: The Committee presented a list of things to the Village that they would like the Village to sponsor. CJ is still getting additional sponsors. The next meeting of the committee will be on October 27, 2004 at 6:00 p.m. in the basement of US Bank. This will be the last meeting until January, when all hands will be needed.
Old Business
Christmas Walk: Joan Cunningham reported that the person who usually does the carriage rides is not going to be able to do it this year. Discussion was had on whether we should attempt to hire a replacement. It was generally agreed that Joan should investigate what replacements are available.
Joan Cunningham also pointed out that the wreaths we hang downtown are in the basement of the Village Hall. Burned out and non-functioning bulbs in the lights on the wreaths need to be replaced. Joan will contact Rex Lender to find out what he will charge to put up the wreaths. Arnie Binning and Don Sandell volunteered to help bring the wreaths up from the basement.
Janet Fuenty is sending out letters requesting businesses donate to the silent auction. Donations are to be dropped off at US Bank before October 29.
Jackie Moyer is having difficulty obtaining animals for the live nativity.
New Business
Envelopes: It was determined that PIA is running out of envelopes with its logo on them. Jackie Moyer moved that we purchase envelopes with the PIA logo. Janet Fuenty seconded the motion and the motion passed. Tara Theisen will obtain a quote for the cost of the envelopes.
Certificates of Insurance: Joan Cunningham proposed that we require all persons that do work for PIA provide a certificate of insurance to protect PIA from unnecessary liability exposure. The policy was generally approved.
